Officer Positions: 3 Year Term- Plan to attend monthly PTO Board Meetings and participate/help out at events sponsored by PTO
VP Programs
Responsibilities:
- Member of the Board of Directors
- In absence of the President, perform all duties and responsibilities of the President
- Coordinates Buses for Grade Level Field Trips
- Participates in any executive board voting on issues throughout the year as needed
VP Fundraising
Responsibilities:
- Works with Spirit Wear
- Assists with Spirit Wear operations as needed
- Assists with Carnival Chairs as needed
- Facilitates rewards parties
- Works with Boosterthon reps to negotiate new contract for each year
- Order Boosterthon shirts
- Participates in any executive board voting on issues throughout the year as needed
VP Membership
Responsibilities:
- Conduct the annual membership campaign (Event & Incentives)
- Shall provide directory of school staff and students for all members
- Participates in any executive board voting on issues throughout the year as needed
Assistant Treasurer
Responsibilities:
- Assist with Treasurer needs
Chair Positions: 1 Year Term Roughly 2-4 hours per year for most positions
Audit Committee -
Responsibilities:
- Reviews the financial records of the PTO 4 times per year
- Ensures all monetary expenditures and deposits are properly documented and approved by officers.
Spirit Wear - Can be done remotely depending on online store selection
Responsibilities:
- Setup web store with annual school spirit wear
Hospitality
Responsibilities:
- Organize Donuts with Grown Ups
Carnival Chairs(s) - More than 4 hours needed during Carinal Preparation
Responsibilities:
- Enlist volunteers for all major jobs including:
- Silent Auction Coordinator
- Decorations Coordinator
- Games
- Grade Level Basket Coordinator
Silent Auction Coordinator - More than 4 hours needed in preparation for Carnival.
Responsibilities:
- Secures volunteers to solicit donations from area businesses for the silent auction
- Organizes and accounts for all donations (software program available)
- Set up layout of silent auction room with help of Carnival Decorations Volunteers
- Produces Silent Auction Catalog
- Distributes receipt letters to all donors
- Verifies with Treasurer that all payments are received for items sold and all items are delivered to bidders
Corporate Matching/Grocery Programs - Can be done remotely
Responsibilities:
- Apply to grocery program every summer before school begins
- Coordinates with VP Membership for parents with companies who honor corporate sponsorships (with google doc at the beginning of the year)
- Coordinates with Volunteer Coordinator about volunteer hours
Landscape
Responsibilities:
- Monitor maintenance on playground and report any needs to the PTO Board
- Clean and maintain flower beds on school property with PTO financing
- Offer new ideas for enhancing school property
- Setup sings for the beginning and ending of the school year
Lost and Found
Responsibilities:
- Organize all items left in lost and found
- Periodically set up inventory to attempt to get kids and parents to retrieve their items
- Set up dates to donate items to charity after sufficient time has been given to Powell families
- Donate items not claimed
Pride
Responsibilities:
- Wear Panther costume as needed at school events
Staff Appreciation
Responsibilities:
- Coordinates monthly events for staff and stays at event, to include:
- Back to school luncheon
- Monthly luncheons or snacks
- Christmas luncheon
- STAAR lunches
- End of year luncheon
Volunteer Coordinator - Can be done remotely
Responsibilities:
- Recruit Parent Volunteers for events such as Carnival, Jingle Jam, Boosterthon, and any other PTO event.
- Coordinates with Corporate Sponsorship about volunteer hours
- Maintain Volunteer Database
- Sets up a database of volunteer contact information
- When the PTO needs volunteers for an event, the committee chair will contact the volunteer coordinator, who will send out a mass email with all the details and ask for volunteers
Spirit Night - Can be done remotely
Responsibilities:
- Coordinates with local business for Spirit Night
- Sends flyer to the Principal and President to be publish on social sites such as Powell Publisher, Facebook, PTO Website, and Instagram
Copy Parent - Needed during school hours for a minimum of 4 hours per week
Responsibilities:
- Coordinates with 2 other volunteers on making copies during the week
- Makes copies for each grade level
- Coordinates with school secretary about copy machines and supplies needed
Jingle Jam - In school all day event on last full Friday before winter break
Responsibilities:
- Coordinates with Volunteer Coordinator to enlist parents needed for event
- Decides on student gifts
- Decides on craft
- Sets up games
- Orders cookies thought the cafeteria
- Fill out school map with list of parent volunteer names the night before
Sponsorships
Responsibilities:
- Reach out to local business wanting to sponsor Powell Elementary
- Secure donations through Powell family and local business sponsorships.
- Update the “Sponsorship Commitment Form” to secure sponsorship payments.
- Update the “Carnival Sponsorship Letter” and send it out to Powell families and potential corporate donors.
- Create and order the recognition banner for the premium carnival sponsors.
- Follow through with all promised sponsor recognition at the carnival and throughout the school year for corporate sponsors.
- Send tax receipts to all donors (in coordination with the Treasurer.)
- Update “Community Business Sponsorship Opportunities” letter and present it to potential donors at the beginning of the school year.
